Project Manager III Ambulatory IT

Full Time, FTE: 1; 
Hilborn Administration Center
Fairfield, CA (GreenValley)

At NorthBay Healthcare the Project Manager reports to the Director, IT Applications and under the guidance of the Ambulatory Chief Medical Information Officer, the Project Manager III Ambulatory is responsible for the IT services provided to the Ambulatory Division. This position is responsible for systems planning, systems implementation, systems adoption, workflow optimization and all aspects of managing ambulatory IT projects. Through tight coordination with the network operations team, helpdesk and other IT services, the position is also responsible for ensuring the reliability and availability of the hardware and infrastructure used in the division. 

Following established methodologies, this position is responsible for project management related to system selection, implementation, training, and ongoing IT optimization within the division and coordinating Ambulatory division deliverables for enterprise IT projects.  Working closely with the Director, IT Applications and the Director of Clinical Informatics, this position ensures consistency with our content and design of clinical systems across the ambulatory and acute care settings.

In coordination with the CIO, Ambulatory CMIO, and Director, IT Applications, the incumbent participates in and contributes to the IT governance process to ensure strategic alignment of IT investments with the goals of the division.


Serve as the primary IT point of contact for the Ambulatory division, responsible for communications regarding systems status and availability, project status, and other relevant IT updates.

Escalate issues and incidents within the division to the appropriate IT leadership based on the nature of the issue

Serves as the project manager to identify, evaluate, select and implement new systems and modules for areas within the division.Is responsible for the successful outcome of all assigned projects, which includes the management of the plan, resources, tasks, risks, budgets and schedules.

Resolve or assist in resolution of conflicts within or between projects or functional areas.

Ensures that staff and supporting processes are appropriate to support the needs of all clinical users including physicians, mid-level providers, technicians, front office staff, management and others.

Coordinates with appropriate IT resources and staff to identify and isolate problems, define solutions and implement countermeasures to prevent the problem from recurring.

Co-Leads with the CMIO the evaluation of new systems, methodologies and preparing analyses of alternatives and enhancement recommendations to existing systems.

Manage multiple business owner(s), stakeholder(s), vendor(s), and team member(s) relationships to accomplish project activities.

Evaluates business requirements and recommends division standards for the effective, efficient users of systems.

Proactively identify and manage risks, issues, cross-project dependencies, contingencies and alternatives.

Monitor and report on project activities and reporting on statuses within published timelines.

Collaborate with project members, key stakeholders and management staff to ensure project objectives, specifications, deliverables, timelines and tasks are understood, agreed upon and achieved.

Supports IT compliance efforts including MIPS/MACRA and coordinating external reporting requirements

Assures that appropriate downtime and disaster recovery protocols are in place for all clinics and urgent care centers within the division.

Establish, update and communicate master ambulatory project schedule.

Manage project budget and resource allocation.

Interacts with all levels of management necessary to properly execute the responsibilities of the position.

Develops and executes a timely and effective communication plan. Prepares periodic management reports and informs key stakeholders of status, issues, problems and proposed solutions as appropriate.

Coordinates project meetings, prepares meeting agendas, and records and tracks action items.

Assesses project performance by obtaining, analyzing, and interpreting project metrics.

Understand and supports the ambulatory division goals and objectives by focusing and prioritizing efforts on work that will meet these objectives.

Maintains awareness of advancements in project management industry. Participates in outside professional activities to maintain knowledge on developments in the healthcare IT project management field.

Researches, develops, and implements project management collaboration tools, processes and methodologies in accordance with industry best-practice standards.

Completes other duties as assigned.

Education: Bachelor’s degree required, Masters preferred.
Licensure: Current PMP certification or Masters in Project Management. Higher certification in other forms of project management or healthcare related area such as Agile Certified Practitioner, Scrum, Six Sigma or Lean Certifications.
   3.    Experience:  Minimum 5 years’ experience in the healthcare industry, IT Management or outpatient practice management preferred.  Minimum 8 years of experience in project management. Demonstrated record of project management success, both in results achieved and in use of professional methodology.
   4.    Skills:  Excellent oral and written communication skills.  Project management skills related to implementing healthcare systems required. Ability to foster trusting relationships with colleagues and others. Proficient with project management software, and document collaboration tools.
